THIS POSITION IS CONTINGENT UPON BID AWARD

 

The Course Support Administrator will provide professional administrative support to the 711th Human Performance Wing (711HPW) Human Effectiveness Directorate (RH) and the United States Air Force School of Medicine (USAFSAM) Aerospace Medicine Education Branch (FEEE).


Responsibilities

  • Provide administrative and technical support to the USAFSAM/FEEE Course and Program Directors and Instructors with day-to-day operations, coordination, and management of professional courses and workshops.
  • Assist staff in organization and transmittal of day-to-day data and information.
  • Perform administrative activities to include answering telephones, electronic correspondence and documentation, working with USAFSAM/ED on administrative documentation requirements of USAFSAM/FEEE courses, prepare, review, and edit written correspondence and the maintenance and updating files and records.
  • Assist USAFSAM/FEEE course instructors with their lectures, teaching materials and administrative requirements.
  • Possess extensive organizational skills, communication skills, and the ability to work independently.
  • Serve as the initial point of contact for updating the USAFSAM Aerospace Medicine Education Branch portions of the Air Force Knowledge Exchange webpages.
  • Assist the Share Point Manager and Technical Expert.
  • Have the knowledge and ability to build and maintain a Share Point site for the unit.
  • Work with internal computer programs such as Education Training Management System (ETMS), Travel Request System (TRS), Defense Travel System (DTS), Management Internal Control Toolset (MICT), Virtual Personnel Center (vPC), and SharePoint.
  • Prepare, coordinate, and submit travel requests through various electronic systems such as Education Training Management System (ETMS) and Travel Request System (TRS). This will include arranging transportation and lodging, assist in the preparation of travel orders, and submit travel vouchers for personnel utilizing the Defense Travel System (DTS).
  • assist in maintaining the Continuing Medicine Education CME database for students attending USAFSAM/FEEE courses.
  • Assure confidentiality of documents, communications, and data related to the duties above.
  • Shall monitor office supplies.
  • Request replenishment of office supplies in a timely manner to ensure all items are readily available to accomplish all aspects of their administrative duties to prevent delays.
  • Provide administrative and technical support to the USAFSAM/FEEE Course and Program Directors and Instructors with day-to-day operations, management of professional courses and workshops.
  • Assist staff in organization, coordination, and transmittal of day-to-day data and information.
  • Support or provide direct administrative and technical support to all USAFSAM/FEE education programs, including Graduate Medical Education (GME) programs.
  • Assist in moving educational training equipment, weighing up to 45 lbs. for single-person lifts, and 100 lbs. for two-person lifts.
  • Occasionally provide education and administrative support in outdoor/dusty environments and be required to stand for prolonged periods and in those environments.
  • Other duties as assigned.

Qualifications

  • Associate’s Degree Preferred
  • Minimum three (3) years’ experience as an administrative program manager.

 

Knowledge, Skills and Abilities

  • Administrative experience in military setting Preferred
  • Advanced typing skills, possess extensive organizational skills and the ability to work independently. 
  • Knowledge of Microsoft Office programs such as Teams, Word and Outlook. 
  • Proficiency in the use of Microsoft Office software to include advanced Excel functions, PowerPoint, Adobe, and Advanced document management tools. 
  • Experience building and managing SharePoint sites. 
  • Willing to learn and manage training platforms/programs adopted by USAFSAM in efforts to maximize education delivery for courses they help to support.
  • Ability to lift and/or move up to 45 pounds for single-person lifts, and 100 lbs. for two-person lifts.

The employee must occasionally lift and/or move up to 45 pounds for single-person lifts, and 100 lbs for two-person lifts. Specific vision abilities required by this job include close vision.
